Is Circleback free? What the free plan really includes
Circleback's release note of August 31, 2026 says: "Circleback now starts free," "It isn't a trial," and that Free "includes AI notes and action items" for unlimited meetings, with "email viewing and drafting, limited automations, and API, MCP, and CLI access, with limited history." The Free card on the pricing page lists:
- AI meeting notes and action items, Ask Circleback, and viewing and drafting emails
- "A bot or the bot-free desktop app for online meetings"
- Speaker-labeled transcripts, automatic tagging and sharing
- "Limited automations" (Pro has "Automations with all integrations")
- "30-day meeting and recording history"
- API, MCP and CLI access, and 2 teams
The 30 days is the limit that matters. On Free, a meeting from six weeks ago is gone, along with its recording. Pro keeps meeting history without limit and recordings for 1 year.

How Circleback billing, cancelling and discounts work
From the FAQ on Circleback's pricing page, as of October 19, 2026:
- Changing plans. You can upgrade or downgrade whenever you want. Changes are prorated: "you pay only the prorated difference, and any remaining balance is credited to future invoices."
- Cancelling. "You can cancel anytime with a single click. No hoops to jump through, nobody trying to talk you out of it." The page doesn't mention refunds.
- Viewers. Teammates who aren't in meetings don't need a paid seat; they can be added as free viewers.
- Trial. Every paid card shows "Start free trial," and the release note says "You can also try any plan for free when you sign up." No length is stated.
- Non-profits. 30% off: sign up with your non-profit email, then contact support.
- Education. 50% off for students, applied automatically with a school email, or on request with proof of student status.
How Circleback records your meetings
Every plan includes "A bot or the bot-free desktop app for online meetings." The desktop app, with downloads for macOS and Windows, "works with any meeting you join on your computer, including Zoom, Google Meet, Microsoft Teams, Webex, Discord, RingCentral, and more," and captures meetings "without a bot joining the call" (Circleback for desktop). The bot route is what Pro's "Personalized notetaker participant" refers to: a participant in the call with your name on it, which everyone can see.
Whichever tool you use, tell everyone you're recording; some places require everyone's consent (do you have to tell people you're recording).
Circleback vs Scribbl: the better pick
Scribbl is the better pick for most people pricing Circleback. Nothing joins the call: a Chrome extension for Google Meet, and Scribbl Desktop for Mac (Apple silicon) and Windows for Zoom and Teams. Every meeting comes back with the video, a transcript with speaker names, AI notes and action items, on the free plan, in one account for all three meeting apps.
| Feature | Scribbl (our pick) | Circleback |
|---|---|---|
| Does anything join the call? | No, on Google Meet, Zoom and Teams | A bot, or the bot-free desktop app |
| Video of the meeting | Every meeting, free plan included | Recordings kept 30 days on Free, 1 year on Pro |
| Transcript with speaker names | Yes | Yes |
| AI notes and action items | Every meeting | Every meeting |
| Free plan | 10 meetings a month, no length limit | Unlimited meetings, 30-day history, limited automations |
| Ask questions about your meetings | Claude or ChatGPT across every meeting, or one Smart Collection (Pro) | Ask Circleback; MCP access |
| Follow-up after the call | Automations draft the email, log notes in HubSpot or Pipedrive, post to Slack or Teams; they ask before changing anything | Automations, all integrations on Pro |
| Paid plan | Pro, $13 billed annually, or $20 monthly | Pro, $15 billed annually, or $18 monthly |
Scribbl keeps working after the call. Smart Collections sort meetings by themselves. Automations do the follow-up: draft the email, log notes in HubSpot or Pipedrive, post to Slack or Teams, save to Notion, Google Drive or Confluence, or open Linear, Jira, Asana or Monday tickets, and they ask before changing anything by default. On Pro, connect Scribbl to Claude or ChatGPT and ask about every meeting. Recordings are private by default, and Scribbl doesn't use your meetings to train AI for anyone other than you. More: Circleback alternatives.
The free plan includes Google Meet, Zoom and Microsoft Teams, with 10 meetings a month. Pro is $13 per user per month billed annually, or $20 monthly.
